A day in the life of the Support Officer

Following on from the success of our ‘A day in the life of a Reservations Agent’ blog post, have a read of what a day in the life of the support office includes and find out more about this critical function at Fourways Vehicle Solutions.

We spoke to Mandie who’s responsible for delivering accurate and timely bespoke reports to customers to assist them in managing their fleet movements and administration needs.

Mandie joined Fourways 11 years ago when her children were small and after a 7 year hiatus re-joined us again 4 years ago. She loves being a part of our Fourways family and has had experience of most roles here including Reservations, Invoicing, Damage control and now Reporting. She has worked for Local Government, two large corporates and has over 35 years’ of excellent customer service experience.

One of our USPs is the bespoke reporting that we can produce for all our customers. This varies depending on customer needs, but includes providing Live Hire reports, Insurance reports, P11D information right through to any financial information and costings.

Mandie’s regular responsibilities are:

  • Ensuring accurate vehicle details are uploaded for all reservations
  • Managing vehicle switches on all rentals and ensuring the relevant customers and insurance companies are updated accordingly
  • Providing daily/weekly/monthly/quarterly bespoke reports to customers, covering information that is critical to the smooth running of any fleet
  • Updating and loading customer tariffs to ensure that all billing is accurate and in date
  • Ensuring all customer insurance documents are in date and pursuing new certificates of motor insurance where necessary
  • Mandie also supports our Reservations team and our 24/7 out of hours emergency number

We pride ourselves in our accuracy and outstanding customer service, often anticipating the needs of our customers before they do. It is our mission to exceed customer expectation wherever possible and to ensure smooth corporate vehicle hire and commercial car rental throughout the rental experience and our support staff are vital in this process!
